Operating records.

The process owner needs a record of the rules in use and the checks made before a change. Depending on the scope, we supply process maps, configuration notes, test records and operating instructions.

Request routes and system boundaries

A workflow map identifies where requests enter, who decides and how work moves to the next team. A system view locates the applications, connections and records involved. The maps use names the operating teams recognize.

The map also shows where the work stops, including any supplier interface or neighboring process outside the scope.

Configuration and decision history

An options note records the choices considered and the reasons for a recommendation. Configuration and integration notes capture the rules implemented, including field mappings, update behavior and any settings the maintainer needs to understand.

Where implementation is included, the handover covers the agreed configuration or code and the setup information needed to maintain it. Credentials are handled through approved access arrangements rather than written into a document.

Test results and recovery instructions

Test records pair each expected result with what happened. They identify the sample or scenario used and keep failures and unresolved questions visible.

Operating instructions tell the responsible person where to check a result, how to handle a known exception and when to stop for investigation. A recovery procedure should be usable with that person's permissions.

Worksheets for your own process

Use the handoff worksheet to record what the next team needs. The queue review sheet records why an item is waiting and who can act. Both contain labeled examples for you to replace with your own process details.
