Replace “pending” with a reason
An item marked “pending” may be waiting for a document, a budget decision, an available specialist or a correction in another system. Record which one before assigning the next action.
Choose one queue whose items follow a comparable process. For the blocked items, record the reason for waiting, the next responsible role and the condition that allows work to resume. These details can sit in the current application or a temporary review sheet.
| Waiting for | Record beside the item |
|---|---|
| Information | The missing document or field, who will supply it and where it should arrive |
| A decision | The decision required and the role with authority to make it |
| Capacity | The required skill or resource and the next available allocation |
| A system correction | The failed operation, the support reference and the check needed before resuming |
Review decisions and missed commitments
Assign the next action to the role able to take it. Someone tracking an item may be unable to approve the request or fix the system. Record when the queue owner should check back, without making the tracker responsible for a decision they cannot make.
At the review, concentrate on unresolved decisions, missed commitments and items whose next action is unclear. Routine work can continue through the queue without being read aloud in a second status meeting.
If a promised document or correction has not arrived, establish what is holding it up. The next action may need a different owner or an escalation under the existing process.
The queue review example shows how to record a request. Adapt its fields to the queue, and decide who will maintain the information before making it a regular reporting task.
